Contractor and Builder Tags: Organizing Construction Porta Potty Customers

Different Customers, Different Handling

A porta potty company serves homeowners, event planners, municipalities and contractors. Construction customers behave differently from the rest: longer rentals, many sites, monthly billing, superintendents instead of homeowners. Good documentation, like the theft and damage notes in Job Site Theft and Vandalism: Keeping Notes on Damaged or Missing Porta Potties, helps on individual sites. Tags and custom fields help you organize the whole customer list.

What Tags Are For

Tags are short labels on a client. Common ones are Contractor, Builder, Events and Homeowner, and you can create your own. A client can have more than one tag.

For construction, tags let you:

Keep tags simple. A short, consistent set is useful; fifty tags nobody remembers to use is not.

A Starter Set for Construction

For most companies, a few tags cover construction well:

Add the tag when you create the client, and add more as you learn about the account. If a homeowner turns out to be a small remodeler with several jobs a year, add the Contractor tag.

Decide early whether tags describe what a customer is or how you treat them. "Builder" describes the customer. "Monthly Billing" describes how you handle them. Both are useful, but mixing the two without a plan leads to lists nobody trusts. A simple rule works: a few tags for customer type, a few for handling, and nothing else without a reason.

Tags also help new office staff. A person answering the phone in their first week can see the Contractor tag on the caller's record and know right away that this is a construction account with job sites, a super and probably a monthly statement. That saves the caller from explaining their account from scratch, and saves your staff from guessing.

Custom Fields for the Details

Custom fields hold information that does not fit the standard client record. For construction accounts, useful ones include:

Custom fields stay with the client, so whoever runs billing or answers the phone sees them. When a contractor's bookkeeper asks for their vendor number on every statement, it is there.

Pick custom fields based on questions the office actually gets asked. If the bookkeeper at one builder always asks for a vendor number, that is a field. If you keep writing "terms agreed by phone" in a notes box, that is a field. Fields that nobody fills in are clutter, so add them only when you know you will use them.

Using Tags in Daily Work

Tags are most useful when you filter by them. Before the spring building season, filter by Contractor and Builder and send those accounts a note about availability. When reviewing past-due accounts, filter construction accounts separately, since they are often on monthly billing with different terms.

When importing an existing customer list by CSV, you can add tags afterward to sort the construction accounts from the rest. It is worth an hour to get this right at the start.

Tags and Reports

Reports by account show revenue and activity per client. Combined with tags, they tell you how much of your business comes from construction and which builders are worth the most. That helps you decide whether to add a truck for construction routes, where to focus sales, and which accounts deserve a personal check-in. Reports by Contractor Account: Knowing Which Builders Pay Your Bills covers reports.

Review the tags whenever an account changes. A builder who stops working in your area, or a contractor who moves to monthly billing, should have their tags updated the same day, so the next filtered list is right.

Keeping It Clean

Tags and custom fields only work if the office uses them the same way. Write down the tags you use and what each one means. Review the client list a couple of times a year and fix any that are missing or wrong. A Builder tag on a homeowner sends the wrong message in the wrong email.
