Deliver the Day Before, Pick Up the Day After: The Event Porta Potty Timeline
The event is on Saturday. When should the units arrive? For most porta potty companies, the answer is Friday, and they come back Monday or Sunday. That simple timeline protects the customer from a late delivery, gives your drivers room to work, and keeps your weekends sane.
The Standard Event Timeline
Once a customer has paid a deposit or put a card on file, as covered in Deposits and Card on File When Booking Event Porta Potties, the next step is planning the delivery. Most events follow the same pattern: deliver the day before, pick up the day after. There are good reasons for it.
Delivering the day before means a flat tire, a blocked road or a long morning does not ruin the event. The host sees the units in place and stops worrying. If something is wrong with the placement, there is time to fix it. Picking up the day after means your driver is not trying to pull units while guests are still using them, and the host has time to clean up.
It also spreads the work. If every Saturday event wanted delivery Saturday morning, you would need far more trucks for a few hours a week. Spreading deliveries across Thursday and Friday and pickups across Sunday and Monday lets the same trucks and drivers handle many more events, which matters most in the busy months.
Two Jobs, Not One
In PortaPottyBossPro, the delivery and the pickup are separate jobs, each on its own day. That way the delivery shows on Friday's dispatch board and the pickup shows on Monday's, and neither gets lost. When the customer approves an estimate, the approved services land on your books, and you assign each one to a truck and day.
Each job carries the unit types, quantities and unit numbers, along with the placement notes. The pickup job carries the same information, so the driver knows how many units to bring back and from where.
Rental Tracking for Events
Rental tracking records the delivered date and the picked-up date, the days included in the rental, and a per-day rate after that. For an event, set the days included to cover the normal window, for example three days for a Friday delivery and Monday pickup.
If the host asks you to leave the units through Wednesday for a cleanup crew, you do not need to remember to bill it. The office lists show how long the units have been out, such as "Out since 6/13 (5 days, 2 extra)," and the extra days are added to the invoice automatically as "Extra rental days."
When to Deliver Earlier
Some events need units two or more days ahead:
- Weddings with a rehearsal or setup day at the venue
- Festivals where vendors and stage crews arrive days early
- Restroom trailers that need setup before tents and lighting
- Events at venues that are only open on certain days
Ask during the booking, and schedule the delivery job to match. Put the reason in the notes so the dispatcher does not move it to a "more convenient" day.
When Same-Day Delivery Makes Sense
Sometimes the day before is not possible. A park may not allow units overnight, or a street may only close the morning of a race. In those cases, schedule an early delivery on the event day and make sure the driver has the access details. Use the dispatch board's route order to put same-day event drops first.
When to Pick Up
Most hosts are happy with a Monday pickup after a Saturday event. Others want the units gone Sunday because the venue has another event, or because a homeowner wants the yard back. Ask, and write the answer on the job. If your company does not run Sunday pickups, say so on the estimate.
Races and park events often need same-day or next-morning pickup because the permit ends. Note any time limits so the driver arrives when the units can actually be removed.
Letting the Customer Know
The night before the delivery, a reminder tells the host the units are coming tomorrow. When the driver heads out, the host gets an automatic "on the way" text, and an "arrived" text when the truck pulls up. The pickup works the same way. Hosts who use the customer app can see the route on delivery day and how many stops away the truck is.
A Timeline Customers Can Count On
A clear delivery and pickup timeline, written on every estimate and handled the same way every time, is one of the simplest ways to look like a professional event company. For more on how the whole event workflow fits together, visit the event porta potty rental software page.
