Website Quote Requests for Event Porta Potties: From Form to Booked Job
Event customers shop online. Someone planning a graduation party, a race or a wedding opens a search, finds a few porta potty companies and fills out a form on each website. Whoever answers first with a clear price usually gets the job. The work of the office is to make sure no request sits unseen.
The Request Is the Start of Every Event Job
Every kind of event we have covered so far in this series, including the community events in Church Picnics, Revivals and Community Events: Porta Potty Bookings for Repeat Organizers, can start as a website request. The form is often the first impression the customer gets of how you run your business. A form that asks smart questions and gets a fast reply tells them you know what you are doing.
Where the Requests Go
In PortaPottyBossPro, the request form on your website drops into Form Responses in the office. It does not depend on someone checking a shared email inbox or on a forwarding rule that broke last month. Everyone in the office who handles bookings sees the same list.
If the customer has used you before, you can find their client record. If they are new, you have their details from the form, ready to turn into a quote.
What to Ask on the Form
A form that asks too much does not get filled out. A form that asks too little means you have to call back with questions. For events, a good middle ground is:
- Name, phone and email
- Event date, and whether setup starts earlier
- Event address or venue name
- Type of event: wedding, party, festival, race, church event or other
- Expected guests
- Whether they are interested in ADA units, hand wash stations or a restroom trailer
- A free text box for anything else
That is enough to build a first estimate. Anything else can be sorted out in a reply.
Answer Fast
The speed of your reply matters more than almost anything else on a small event. A homeowner who sends three forms on Tuesday night will often book whichever company replies first on Wednesday morning with a price. Make checking Form Responses the first task of the day during peak season, and again after lunch.
If a request needs a question answered before you can price it, ask with a text. Two-way texting from the office means the customer can reply from their phone and the answer lands with the right client.
Build the Estimate From Your Service List
You already have your services set up: standard units, deluxe flushing units, ADA accessible units, hand wash stations, restroom trailers, delivery, extra service and anything else you sell. Building an event estimate is picking lines and quantities and setting the dates. Your prices are your own, and the estimate uses them every time, so two people in the office quote the same event the same way.
Add a note with your recommendation if the customer's guest count suggests they need more than they asked for. We cover how to talk through numbers in How Many Porta Potties Does an Event Need? How to Guide Your Customers.
Approval Online
The customer gets the estimate and approves it online. No printing, no signing and scanning, no "I'll call you back." Once approved, the estimate becomes scheduled services, so the delivery and pickup are on your books without anyone retyping them.
If you want a card on file before you commit the date, send them to your sign-up form, which captures their details and card together. One click converts the sign-up into a client.
Following Up on Quiet Estimates
Some estimates sit. The customer is comparing prices, or waiting on a spouse, a committee or a venue. A short, friendly text a few days later often gets the answer. Do not let peak-season dates sit open for weeks on an estimate nobody approved. Tell the customer when you need an answer to hold the date.
A follow-up text works best when it is short and specific: the date, the units, the price and a question that can be answered in one word. "Still planning on the two units for June 14? Reply yes and we will lock in the date." Customers who are on the fence often just needed a nudge, and a reply lands in the office texting inbox with the right client attached.
Measure What Works
Keep track of where your event requests come from and how many of them book. Reports and tags make it easy to see how many event clients you added this season. If the website form brings in most of your weddings but few of your festivals, that tells you where to spend your marketing time.
