Delivery Day on the Phone: Setting Portable Toilets From the Driver App
Delivery day is when the relationship with a new customer really starts. The units go in, the customer sees your truck and your driver for the first time, and everything about the next weeks or months of the rental depends on getting those units in the right spot. It is also a different kind of day from a service route, and the app treats it that way.
What a Delivery Card Shows
Payment at completion depends on the job being set up right, as covered in Getting Paid at Completion: Card on File and Invoices From the Driver App. For a delivery, that setup is everything. A delivery job card in the driver app shows:
- The site address with a Map button for one-tap navigation
- Unit type and quantity: how many Standard, Deluxe Flushing, ADA Accessible, High-Rise / Crane, Hand Wash Station or Restroom Trailer units to set
- Unit numbers, once assigned
- Placement notes describing where each unit goes
- Site notes, contacts and gate codes
The tech reads the card before loading at the yard, so the right units go on the truck.
Loading at the Yard
The card's unit lines double as a load list. If the delivery calls for four Standards and a Hand Wash Station, that is what goes on the trailer. When the day has several deliveries, the tech can look ahead through the route to load in the right order, with the last stop's units loaded first.
If a unit is assigned a number at the yard, the tech should note it on the job or tell the office so the site record shows exactly which units went out. Unit numbers on the delivery mean the right units come back on pickup day.
Setting the Units
At the site, placement notes are the instructions. "Two Standards on the gravel pad behind the job trailer, doors facing the trailer. Hand wash station between them." The tech sets the units where the note says. If the note is unclear or the spot is not workable, like the pad is not built yet, the tech calls the site contact listed on the card before setting the units somewhere else.
Units should be level, stable and reachable with a hose on service day. A spot the pump truck cannot reach turns every future service into a long walk or a skip. Placement Notes: Putting Every Portable Toilet Where the Customer Wanted It has more on this.
Think about wind and traffic too. A unit on an exposed lot with no stake or tie-down can tip in the first storm, and a unit set too close to a drive lane gets clipped by a skid steer. If the tech has to adjust the placement for a reason like that, they note it on the job so the office can tell the customer why the unit is a few feet from where they asked.
Placement Photos
Before tapping Complete, the tech takes placement photos from the job. Step back far enough to show where the units sit relative to the building, fence or road. These photos are the record of where the units were set on day one, which settles any later "your driver put it in the wrong place" call.
The Rental Clock Starts
Completing a delivery records the delivered date. From there, rental tracking counts the days. Each rental has days included and a per-day rate after that, so a lot of the billing for the rest of the job is already decided at delivery. The office lists show the running count, like "Out since 10/3 (12 days, 4 extra)."
For a weekly service customer, delivery also sets up the service rhythm. Each service has minimum days between visits, and the site comes due on the Waiting List on its own.
Customer Texts on Delivery Day
Delivery texts are often the most useful of all. A customer expecting a delivery wants to know when to be there, or at least when to clear the spot. Automatic on-the-way and arrived texts handle that. Customers who use the customer app can see the route and where they are in the line.
Events and Same-Day Deliveries
Event deliveries can stack up on a Friday: a wedding, a festival, a 5K, a family reunion. Each one is its own job on the board with its own units and placement. Dispatch can auto-route them and the tech works them in order. An event delivery that needs to arrive before setup starts should go near the top of the list, which the dispatcher can drag into place.
The Short Version
The delivery card is the load list and the placement instructions, the photo is the proof, and Complete starts the rental. For more on the tech's tools, see the PortaPottyBossPro driver and tech app page.
