Moving Porta Potty Techs Off Paper Route Sheets and the Group Text

Most porta potty companies started the same way: a whiteboard in the yard, a stack of printed route sheets, and a group text where the owner sends gate codes, changes and "can someone grab the Elm Street units?" It works when the company is small. It breaks as soon as there are a few trucks, a few hundred sites and a tech who did not read the group text.

What Paper and Group Texts Cost You

Notes on paper die with the paper, which is why good notes matter so much, as covered in Writing Notes the Next Porta Potty Tech Can Actually Use. The full cost of the paper and group-text setup shows up in a few places:

The driver app replaces each of those with something on the job itself.

Step One: Get the Sites In

Start in the office. Import your existing customer list with the CSV import, then fill in each site: address, units with type, quantity and unit numbers, placement notes, gate codes and contacts. This is the biggest piece of work, and it pays off forever. Start with your weekly service sites, since they are the core of every route.

Pull the information out of the group text and the route sheets while you still have them. Every gate code buried in that thread belongs on a site.

Do not try to make every site perfect before you start. Get the address, the units and the most important access note in, then let the techs fill the gaps during the first few weeks. A site that is eighty percent right on the phone is already better than a route sheet.

Step Two: Set Up the Crew

Add each tech as an employee with a personal PIN and assign trucks. Have each one install the app on their phone. It runs in the browser on iPhone and Android, with no app store. See Logging In to the Porta Potty Driver App: Company Login Plus a Personal PIN.

Step Three: Pilot One Truck

Do not switch everyone on a Monday. Pick one truck and one tech, ideally someone comfortable with phones who will give honest feedback. Run their route in the app for a week while everyone else keeps the old system. Print a route sheet as a backup the first day or two if it makes everyone more comfortable.

During the pilot, fix what shows up: a site with a wrong address, a missing gate code, a placement note that does not make sense. Each fix makes the cutover smoother for everyone else.

Step Four: Cut Over

Once the pilot route runs cleanly, move the rest of the trucks. Pick a normal week, not the week before a holiday. Do a short meeting: here is the app, here is the rhythm, Start, photo, Complete, Skip with a reason. Ride along with anyone who is nervous.

Then stop printing route sheets. As long as paper exists, some techs will use it, and the office will not know which version of the route is real.

Expect a few grumbles in the first week. Usually they fade once techs notice that nobody calls them asking where they are, and that gate codes are right there on the card. Pay attention to the specific complaints, because some of them point at a site record that needs fixing.

Step Five: Retire the Group Text

The group text is the hardest habit to break. Replace each thing it did:

Keep a phone call for emergencies. Everything else goes through the app.

What Changes for the Office

The office stops typing invoices from route sheets. Completed jobs create invoices, cards on file can be charged, and rental days bill themselves. The office sees the day move on the board and crew GPS on the map. Weekly sites come due on the Waiting List on their own. The office spends its time on customers and growth instead of paperwork.

The Short Version

Load the sites, set up PINs, pilot one truck, cut over cleanly, and replace every job the group text did. To see what your techs get on day one, visit the PortaPottyBossPro driver and tech app page.
