Sales Tax by Site on Porta Potty Invoices

Sales tax is the part of billing most porta potty owners would rather not think about. It is also the part that can come back years later in an audit. Getting it right on every invoice is much easier than fixing it after the fact.

Why the Site Matters

Site Addresses on Every Line: Making Multi-Site Porta Potty Bills Easy to Check covers labeling every charge with its site. Sales tax is one of the biggest reasons that label matters.

In many places, rental equipment is taxed based on where it is used, not where the customer's office is. A contractor headquartered in one city with units on job sites in three others may owe a different rate on each site. If you charge every line at the rate for the customer's billing address, some of those lines are wrong, and you are the one who collected the wrong amount.

Check the Rules Where You Work

Tax rules for rentals and services differ by state, province and country, and sometimes by city or county. Some places tax the rental but not the service. Some tax both. Some exempt certain customers, such as government agencies or nonprofits. This article is not tax advice. Ask your accountant how rentals and services are taxed in the areas you serve, then set your rates to match.

Tax Figured Per Site

Once you know the rules, the software should do the arithmetic. In PortaPottyBossPro, sales tax is figured per site. Each property under a client carries its own location, and invoices apply the tax rate for that site. A customer with units in two different tax areas gets the right rate on each line without anyone in the office looking it up.

That matters most on monthly statements. A contractor's statement might cover eight sites in four tax areas. Each line, labeled with its site address, carries the right tax. See One Monthly Statement for Contractor Porta Potty Accounts, Every Site Included for how those statements are laid out.

Exempt Customers

Schools, government agencies and some nonprofits may be exempt from sales tax. Keep a copy of their exemption certificate on file and make sure their sites are set up so tax is not charged. Note the exemption on the client record with a tag or custom field so the next person in the office does not add tax back by mistake.

Showing Tax on the Invoice

Tax belongs below the line items, clearly labeled. On a single-site invoice, one tax line is enough. On a multi-site statement, make sure the customer can see which tax applies to which site, so their bookkeeper can split the costs by job. A customer who can see where the tax came from rarely questions it.

When a Site Moves

Construction units sometimes move from one site to another under the same contractor. When they do, the new site may sit in a different tax area. Because tax follows the site, moving the units to the new address on the job means the next charges carry the new rate. Do not just edit the old site's address in place, or the history of what was charged where will be wrong.

Keep the Records

Tax authorities want to see what you charged, where and when. Invoices with site addresses, dates and tax on each line are exactly the record they look for. Keeping every invoice in one system, rather than spread across paper tickets and spreadsheets, makes that record easy to pull if anyone ever asks. Porta Potty Billing Reports Worth Reading Every Week covers the reports worth looking at regularly.

Outside the US

PortaPottyBossPro works in the US, Canada, Australia, New Zealand and the UK and bills customers in their own currency. Sales tax, GST, HST and VAT work differently in each, so the same advice applies: confirm the rules with an accountant who knows your area, then set the rate for each site accordingly.

One more habit worth building: when you add a new site, check its tax rate before the first invoice goes out, not after. A new subdivision just outside city limits may fall in a different area than the job down the road. Thirty seconds at setup is cheaper than correcting a month of statements.

If a rate changes, update it on the affected sites right away so the next invoice is correct from the start.

Get the Tax Right Once

Figure out the rules once, set the rates on your sites and let every invoice apply them. That is far easier than recalculating tax by hand every month. See how per-site tax fits into billing on the porta potty billing software page.

Tax That Follows the Units

PortaPottyBossPro figures sales tax per site, so every invoice line carries the rate for where the units sit.
