Past-Due Porta Potty Invoices: A Follow-Up Routine That Gets Paid
Every porta potty company has a stack of invoices that should have been paid by now. Most of them will be paid eventually. The question is how much office time and how many awkward conversations it takes. A routine makes it smaller on both counts.
Why Invoices Go Past Due
Pricing Deluxe, ADA, Hand Wash and Restroom Trailer Units on the Invoice covers pricing every unit type correctly. Even a perfectly priced invoice can sit unpaid, and this article is about what to do when it does.
Most past-due invoices are not about money the customer does not have. They are about an invoice that got lost, a question nobody asked, a bookkeeper on vacation or a card that expired. Treat past-due follow-up as a service problem first and a collections problem second, and you will collect most of it without a single unpleasant call.
Build a Simple Schedule
Decide your follow-up steps once and run them the same way for every customer:
- A friendly reminder a few days after the due date
- A second reminder a week later, with a link to pay
- A phone call at around two weeks past due
- A final notice before you stop service or pick up units
The exact days matter less than doing it every time. Past-due follow-up in PortaPottyBossPro keeps late invoices in front of the office so they do not quietly age in a drawer.
Text Before You Call
A text gets read. An email often does not. A short, polite message — "Hi, invoice for October is past due. You can pay in the app or reply with any questions" — gets more invoices paid than a phone call, and it gives the customer a chance to fix it without an awkward conversation. Two-way texting from the office means their reply comes back to you, tied to the customer.
Make Paying Easy
The longer the steps to pay, the longer the invoice stays open. Customers can see their invoices and pay online in the customer app, and they can update the card on file there too. Every reminder should point to that. A customer who can pay in thirty seconds from their phone usually does.
Fix the Card Problems
Some past-due invoices are just failed card charges. An expired or replaced card is a quick fix if the customer is asked the same day the charge fails. Check failed charges daily, text the customer, and point them to the app to update the card. See Card on File for Porta Potty Customers: Getting It and Using It for keeping cards current.
Answer the Question Behind the Delay
When a contractor holds an invoice, there is often a question behind it. "Why is this site higher this month?" "We did not order an extra pump-out." Ask directly what is holding it up. Then answer with the facts: the job dates, the site address, the driver's photos. Most holds clear quickly once the question is answered.
When to Stop Service
At some point, a customer who will not pay should not keep getting service. Decide in advance where that point is, and tell the customer in the final notice. For long-term rentals, scheduling the pickup of the units is often the strongest motivator there is. Be firm, be polite and be consistent. A rule applied to everyone is much easier to defend than a decision made in frustration.
Prevent the Next One
The best past-due routine is fewer past-due invoices. Cards on file, auto-charge on completion, clear line items and monthly statements for contractors all cut the number of invoices that ever reach this stage. Each past-due customer is a chance to ask whether they should be on a card on file going forward.
Who Handles It
Pick one person in the office to own past-due follow-up. When everyone is responsible, nobody is. That person runs the routine each week, keeps notes on each conversation and flags the accounts that need the owner's attention. Notes matter: when a customer says they will pay Friday, write it down so the next reminder does not go out Thursday and annoy them.
For larger accounts, keep the conversation going between the same two people. A bookkeeper who always hears from the same friendly voice at your company tends to put your invoices near the top of the pile.
Make Follow-Up a Habit
A follow-up routine run every week beats a big collections push once a quarter. Keep it simple, keep it polite and keep it moving. Learn more about getting paid on the porta potty billing software page.
