Common Mistakes Companies Make With Porta Potty Rental Software
Software doesn't fix habits by itself. Most problems companies have with porta potty rental software come from a handful of predictable mistakes in the first few weeks. Getting Set Up on Porta Potty Rental Software in One Day laid out how to start. Here's what to avoid once you're running.
Mistake 1: Jobs Without Units
The most common mistake is putting a site in the software without its units. The address is there, but nothing says what's on the site. The driver doesn't know what to service, the dispatcher can't judge how long the stop takes, and the invoice may not match the work. Every job should carry unit type, quantity, unit numbers and placement notes. See Units on Every Job: Type, Quantity, Unit Numbers and Placement for why.
Mistake 2: Completing Jobs at the End of the Day
Some drivers save every Complete for the end of the shift. That breaks more than it seems. Customers don't get their arrived texts on time. The office can't tell which stops are really done. Rental dates are recorded late, which can cut days off a rental and lose you extra-day charges. Invoices are created hours late. Make it a rule: tap Complete at each stop.
The fix is usually just explaining why. Once drivers understand that the customer is waiting on that arrived text and the office is watching the board, most start tapping Complete at the stop without being reminded. A quick look at the board mid-morning tells you who hasn't picked up the habit yet.
Mistake 3: Weekly Services Never Set Up
A site with units on it but no weekly service never comes due on the Waiting List. That's how a site gets missed for two weeks without anyone noticing. After setup, compare the Waiting List against your old route sheet and make sure every site that gets regular service has its service set up with the right minimum days between visits.
Mistake 4: Duplicate Clients
A contractor gets entered as a new client for every new project instead of getting a new site under the existing client. The contractor's history ends up split across several records, and monthly statements don't cover all their sites. Before creating a client, search for one that already exists. New project, same customer, means a new site.
Mistake 5: Wrong Rental Terms
If a rental is set up with the wrong days included or the wrong per-day rate, the extra days will be wrong on the invoice, and that's a conversation nobody enjoys. Check rental terms when you create the job, and make sure they match the estimate the customer approved.
Mistake 6: Ignoring Overdue Pins
The Waiting List colors overdue sites for a reason. It's easy to build each day from what's convenient and let a far-off overdue site keep slipping. Look at overdue pins first when you build the board, every day.
If the same sites keep going overdue, that's a sign of something bigger: a part of town no truck covers well, or more weekly service than your trucks can handle. The map makes that pattern visible, which is the first step to fixing it with a route change or another truck.
Mistake 7: Skips With No Note
A Skip without a note tells the office nothing. Was the gate locked? Was a truck parked in front of the units? Did the customer cancel? A one-line note and a photo turn a skip into something the office can act on and explain to the customer.
Mistake 8: Not Telling Customers
Customers who suddenly start getting texts from a new number may ignore them or think they're spam. Tell customers about the change, explain they can choose their alerts, and point them to the customer app for invoices and payment. Customers who use the app call the office less.
Mistake 9: Shared Logins
Giving every driver the same PIN, or every office person the same login, hides who did what. Each employee should have their own PIN and each office person their own user, with the right role. Since you're never billed per user, there's no reason to share.
Mistake 10: Running Paper Forever
Running paper alongside the software for a few days is smart. Running it for months means nobody trusts the software and everybody does twice the work. Set a date to retire the whiteboard, and stick to it.
Fix These and the Rest Gets Easier
Most of these come down to one idea: the software only knows what you tell it, and only when you tell it. Get units on every job, complete at every stop, and keep clients and sites clean. For the full overview of what the software does, see the porta potty rental software overview.
