Spreadsheets vs. Porta Potty Rental Software: Where the Spreadsheet Breaks
A lot of portable toilet companies run on a spreadsheet the owner built years ago. One tab for customers, one for units out, one for this week's route, maybe a column with conditional formatting that turns red when something is late. Last time, in Replacing Paper Tickets and the Yard Whiteboard With Porta Potty Rental Software, we covered leaving paper behind. Spreadsheets are a step up from paper, but they have their own breaking points.
Why Spreadsheets Work at First
A spreadsheet is free, flexible and already on your computer. You can add a column for anything. For a company with a few dozen sites and one truck, it can carry the load for a long time, especially if the person who built it is the person who uses it.
The trouble starts when the spreadsheet has to do things that depend on time, on a phone in a truck, or on more than one person editing it.
Breaking Point One: Due Dates That Move
Weekly service sounds simple until a site gets serviced a day late, or a customer asks for an extra pump-out mid-week. Now every future date for that site is off. In a spreadsheet, someone has to update it by hand. In porta potty rental software, each service has a minimum number of days between visits. When a service is completed, the site drops off the Waiting List and comes back when it's due again. Pins turn to due now, then to overdue once a site is past a 7-day grace. Nobody recalculates anything.
Breaking Point Two: Rental Days
To bill a rental correctly you need the delivered date, the picked-up date, the days included and the daily rate after that. A spreadsheet can hold all four, but someone has to remember to check it when the unit comes back. The software keeps those on the job and shows something like "Out since 10/3 (12 days, 4 extra)" right on the list. When the job is invoiced, the extra days are added automatically as an "Extra rental days" line. More in Extra Rental Days: Billing the Days a Unit Stays Past the Rental.
Breaking Point Three: The Truck
Spreadsheets live on the office computer. Drivers get a printout or a photo of the screen. Any change after 7am means a phone call. In the software, the driver app shows each driver their jobs in route order, with the units, unit numbers, placement notes and a Map button. When the office moves a stop, the driver sees it. When the driver completes a stop, the office sees it.
The same goes for the customer. A spreadsheet can't text a homeowner that the truck is on the way. The software sends automatic "on the way" and "arrived" texts from the driver's Start and Complete taps, and the customer app shows where the customer falls on the day's route. That's a whole category of phone calls the spreadsheet never could have handled.
Breaking Point Four: More Than One Person
The day a second person starts editing the spreadsheet is the day rows start getting overwritten. Two people sort the same tab, or someone saves an old copy on top of a new one. Software keeps one record per client, site and job, with office user roles so people can work at the same time without stepping on each other.
Breaking Point Five: Billing
Spreadsheet billing usually means copying rows into an invoice template, then tracking who paid in yet another column. Porta potty rental software creates the invoice when the job is completed, with line items and sales tax per site, charges a card on file if there is one, and sends past-due follow-up. Contractors set to Monthly get one statement covering every site, each line labeled with the site address.
What You Keep From the Spreadsheet
Your spreadsheet isn't wasted work. It's exactly what you need to get started. PortaPottyBossPro takes a CSV import of your customer list, so the names, addresses, phone numbers and emails you've been keeping come straight in. Custom fields hold the odd columns you added over the years, and tags (Contractor, Events, Homeowner) replace the color coding.
When to Make the Move
If you're spending more time fixing the spreadsheet than using it, or if you've ever missed a weekly service because a date didn't update, it's time. Run your real customers through the 14-day free trial with no credit card, and compare a week of Waiting List against a week of spreadsheet. For everything the software covers, see the porta potty rental software overview.
