Service Photos as Proof: Showing the Porta Potty Was Pumped and Clean

When the Customer Says Nobody Came

Good notes, covered in Service Notes and Site Access: Gate Codes, Lock Boxes and Where the Units Sit, get the driver to the unit. Photos prove what happened once they got there. Every portable toilet company has had the call: the unit was not serviced, nobody came, it was filthy. Sometimes the customer is right. Often the unit was serviced on schedule and a crew of thirty used it hard for three days afterward. Without proof, it is your word against theirs.

Photos change that conversation.

What to Photograph

A quick set of photos at each stop is enough:

On a site with many units, one or two photos of the row plus a close-up of anything unusual is usually enough. The point is a record, not a photo shoot.

Photos in the Driver App

In PortaPottyBossPro, drivers take photos from the driver app during the stop, and those photos stay with the job. There is no separate camera roll to sort through, no texting photos to the office, and no wondering which photo goes with which site. When the office opens the job, the photos are there.

Settling Disputes

When a customer says a unit was not serviced, the office can open the job and see:

Most disputes end right there. The superintendent sees a clean unit from Tuesday morning and realizes the problem is how much it was used since. That is also the moment to talk about more units or more frequent service. High-Use Porta Potty Sites: Spotting Them and Servicing Them Before Complaints covers high-use sites.

Damage and Misuse

Photos also protect you from damage claims and support your own damage charges. If a unit was tipped by equipment, burned, or vandalized, a photo of the condition at the last visit shows when it happened. Whether you charge for damage is your policy, but you cannot charge for it without proof.

Photos That Help the Next Driver

A photo of where the units sit is a placement note that cannot be misread. When a site has unusual placement, such as units behind a building or in a back corner of a large lot, a photo helps the next driver find them. Pair the photo with written placement notes so both are available.

Building the Habit

Photos only help if drivers take them every time. Make it part of the visit routine, right before tapping Complete. Keep it short so it does not slow the route. Check a few jobs each week to see that photos are being taken, and give feedback early. Once it becomes habit, it takes a few seconds per stop. What a Porta Potty Service Visit Includes: Pump, Clean, Restock, Check lays out the full visit routine, with photos as the last step.

Photos When a Stop Is Skipped

Photos matter just as much when a driver cannot complete a stop. If the gate is locked, take a photo of the locked gate. If a forklift is parked in front of the units or a pallet of block is stacked against the door, take a photo of that. Then tap Skip and let the office know.

Those photos protect you when the customer later says the unit was missed. They also give the office something to send the site contact right away: a text with the problem and a request to clear it so the driver can come back. The skipped site stays due on the Waiting List until a visit is completed, so it gets reassigned the next day, and the photo explains why it took an extra day.

Photos and Customer Trust

Some customers will never ask for proof. But knowing that you document every visit builds trust with larger accounts, property managers and municipalities, who often need records for their own reporting. When a GC asks for proof of service on a project, you can show it.

Proof Without the Paperwork

Photos replace the signed service slip without the clipboard. To see how photos fit into service scheduling, from the Waiting List to the driver's phone, visit PortaPottyBossPro portable toilet service scheduling software.

Photos That Stay With the Job

Photos taken in the driver app are saved with the service visit for the day someone asks.
