Moving a Recurring Porta Potty Service Schedule Off Paper and Spreadsheets

The System That Lives in Someone's Head

Reports like the ones in Reports on Porta Potty Service Visits per Week: Knowing What Your Trucks Did are hard to build when the schedule lives on paper. Many portable toilet companies run weekly service from a route binder, a whiteboard in the shop, a spreadsheet on the office computer and the memory of the driver who has been running the route for years. It works until that driver takes a week off, the spreadsheet gets out of date, or a site falls through the cracks.

Moving that schedule into software is less work than it looks if you take it in steps.

Step One: Gather What You Have

Before entering anything, collect every source of schedule information:

This is also a good time to clean up. Remove customers whose jobs ended. Fix addresses that are vague. Confirm unit counts with your drivers.

Step Two: Import Your Customers

PortaPottyBossPro can import an existing customer list from a CSV file. Export your spreadsheet or accounting customer list to CSV, map the columns, and bring your customers in at once instead of typing them one by one. Then check a handful of records to make sure names, phones and emails came through correctly.

Step Three: Add Sites and Units

Each client can have many job sites. For each active site, add the address, the site contact, and the access notes. Then add the units on the job: type, quantity and unit numbers, plus placement notes. This is the most valuable part of the setup, because it moves the knowledge out of drivers' heads and onto the job, where every driver can see it on the phone.

Use tags, such as Contractor, Events or Homeowner, so you can sort and review clients by type later.

Step Four: Set Up Recurring Service

For each site, add the service with its price and its minimum days between visits: seven for weekly, three or four for twice weekly, fourteen for every other week. Think about when each site was last serviced, so the first round of due dates matches where it falls in your current week. Within one cycle, every site is running on its own completed-visit history. Minimum Days Between Visits: The Number That Drives Your Service Schedule explains how the setting works.

Step Five: Run Both for One Week

For the first week, keep your old route sheet as a backup while you work from the Waiting List and dispatch board. Assign the due sites to trucks, set route order, and have drivers work from the driver app. Compare at the end of the week. If anything on the paper sheet did not show up in the software, find out why and fix the setup. After a clean week, retire the paper.

Step Six: Bring the Drivers Along

Drivers log in to the driver app with a company login and a personal PIN. It works on iPhone and Android in the browser and can be installed on the phone. Walk each driver through a day: jobs in route order, the Map button, the unit details and notes on each card, Start, Skip and Complete, and photos. Most drivers pick it up in a shift.

Step Seven: Turn On Customer Alerts

Once the schedule is solid, tell customers about the customer app and their alert choices. Night-before reminders and arrival texts work best when the schedule behind them is accurate, so wait until you trust it.

Common Mistakes to Avoid

A few things trip up most switches. Entering sites without unit numbers or placement notes leaves the driver no better off than before. Setting every site's last service to the same day makes the whole customer base come due at once. Skipping the side-by-side week means a missing site is only discovered when the customer calls. And waiting to train drivers until the day you go live puts everyone under pressure at once. Take the steps in order and none of these will bite.

What You Get Back

The weekly rebuild of the route sheet goes away. The office looks at the Waiting List each morning, assigns what is due, and watches for overdue pins. To see the full scheduling setup, visit PortaPottyBossPro portable toilet service scheduling software.
