Restroom Trailer Service: Scheduling the Units That Take the Longest
A Different Kind of Stop
Hand wash stations, covered in Servicing Hand Wash Stations Alongside Your Porta Potties, add a few minutes to a stop. Restroom trailers can add an hour. A trailer has multiple stalls, sinks, mirrors, flooring, lighting, often air conditioning or heat, and customers who chose it because they expect a higher standard. Scheduling them like a standard unit is a fast way to fall behind on the rest of the route.
Why Trailers Need Their Own Planning
Several things set trailers apart:
- Holding tanks are larger and may need a longer pump time.
- Fresh water tanks need refilling, or the trailer needs a water hookup checked.
- Power, generators or hookups need to be confirmed working.
- More surfaces to clean: multiple stalls, sinks, counters, floors and mirrors.
- More supplies: paper towels, soap, toilet paper and often air freshener at every station.
- Higher expectations from the customer, often a wedding, corporate event or office.
A trailer service can take as long as several standard stops combined. Plan for it.
List the Trailer on the Job
In PortaPottyBossPro, Restroom Trailer is its own unit type. List it on the job with its unit number and placement notes. Add access details: where the truck can park to reach the tank, where the hookups are, and whether the event or site needs the service done at a specific time. The driver sees all of this under the address on the phone, and the office sees it on the Waiting List and the Scheduled List.
Timing Matters More
A standard unit on a construction site can be serviced any time the site is open. A restroom trailer at a wedding cannot be serviced during the ceremony. Ask the customer when service is allowed and put it in the notes. Then set the route order on the dispatch board so the trailer lands in that window. You can drag stops into place, or auto-route Closest First or Furthest First and then move the trailer to the right slot.
For multi-day events, trailers often need service every day, usually early in the morning before guests arrive. A one-day minimum between visits brings the trailer due each day on the Waiting List.
Long-Term Trailer Placements
Some trailers stay put for months at construction offices, disaster recovery sites or facilities under renovation. These run on weekly or twice-weekly service like any other recurring site. Set the minimum days between visits and the trailer comes due on its own. Because each visit takes longer, put long-term trailers on a day when the truck's route is lighter.
Balancing the Truck's Day
Look at the dispatch board totals for a day with trailer service. A truck with a trailer stop and thirty standard stops is probably overloaded. Move some of the standard stops to another day within their due window or another truck. The colors on the Waiting List show which sites can safely wait.
Cleaning Standards
Trailer customers expect a clean that matches the price. Write a trailer checklist for your drivers: pump, refill, clean every stall and sink, wipe mirrors and counters, mop floors, restock every dispenser, check lights and climate control, and take photos of each room. Photos taken in the driver app stay with the job as proof of the condition you left it in.
Assign the Right Driver
Not every driver should service trailers on day one. A trailer at a wedding is not the place to train someone new. Assign trailer stops to the drivers who know the checklist and can handle a guest asking questions while they work. On the dispatch board, filter by truck to see which driver has the trailer stops and make sure that truck carries the right supplies.
New drivers can learn on long-term trailer placements first, where there are no guests and the expectations are clear. The routine in What a Porta Potty Service Visit Includes: Pump, Clean, Restock, Check is the base, with the trailer checklist on top.
Communication
Trailer customers are often hosting guests or running an office. Arrival texts let them know the driver is on site, and the night-before reminder gives them a chance to say a gate will be closed or an event runs late. Two-way texting with the office handles last-minute changes.
Billing
Trailers are usually billed at a higher rate per day, week or service. Put trailer service on its own line so the invoice shows it clearly. To see how restroom trailers fit with your porta potty routes, visit PortaPottyBossPro portable toilet service scheduling software.
