Settling Porta Potty Billing Disputes With Service Photos

"Your guys never came this week." Every porta potty owner has heard it. Sometimes the customer is right. Most of the time the truck was there, the unit was serviced, and the only thing missing is proof. Photos fix that.

Why Disputes Happen

Past-Due Porta Potty Invoices: A Follow-Up Routine That Gets Paid covers following up on invoices that are simply late. Some invoices are late because the customer disagrees with them, and that needs a different approach.

Most porta potty disputes fall into a few groups: service the customer says never happened, an extra pump-out nobody in their office approved, a damage or cleaning fee they think is unfair, and extra rental days they did not expect. Each one is a question of fact. Did it happen, when, and what did it look like? The company with the records wins.

Photos at the Stop

The driver app lets drivers take photos on each job. A photo of the serviced unit, door open, tank pumped and paper stocked, is proof the service happened. A photo of the unit before service — full, tipped, vandalized — is proof of the condition you found. Both stay attached to the job, so the office can find them when the customer calls.

Not every stop needs a photo. Set a simple rule: a photo at every delivery, at every pickup, and any time something looks wrong. Some companies ask for a photo at every service on contractor sites, where disputes are most common. Pick a rule your drivers can follow without slowing down.

Dates and Times on the Job

Every completed job has the date it was completed, and drivers start and complete jobs from the tech app. That record shows the stop happened and when. When a customer says the truck never came on Tuesday, the completed job for that site and that day answers the question. Crew GPS on the office map adds another layer: the office can see where trucks are during the day.

Notes From the Driver

Photos show what happened. Notes explain it. "Unit tipped on arrival, set upright, serviced." "Gate locked, called site contact, no answer." "Concrete washout in tank." A note written at the stop is worth far more than a driver trying to remember details three weeks later when the dispute arrives.

Answering a Dispute

When a customer disputes a charge, reply once, with everything:

Keep it short and polite. You are not trying to win an argument. You are giving the customer what they need to close the question. Most disputes end with one message. Two-way texting from the office makes it easy to send the photo straight to the customer's phone.

When the Customer Is Right

Sometimes the records show the customer is right: a service was skipped, a fee was charged in error, the extra days were counted wrong because the pickup date was entered late. Fix it quickly, adjust the invoice and say so plainly. Owning a mistake builds more trust than any amount of photos. It also tells you where your process needs work.

Disputes Over Extra Days

Extra rental days are calculated from the delivered and picked-up dates. If a customer disputes them, the delivery and pickup jobs, with their dates and photos, show when the unit arrived and left. If the customer says they called for a pickup earlier, check your texts and notes for that request. Damage Disputes

Damage disputes are where before and after photos matter most. A photo of the unit in good condition at delivery and another of the damage at pickup make a strong case. Without the first photo, the customer can say the damage was already there. That is why delivery photos are worth the extra ten seconds. Keep the tone friendly even when the facts are on your side. The customer disputing a weekly service is often a bookkeeper who was never on the site and is just checking a bill. Sending them the photo makes their job easier, and they remember that the next time an invoice from you crosses their desk.

Records Settle Arguments

The best dispute is the one that ends with one message. Photos, dates and notes on every job turn "you never came" into "here is the photo from Tuesday." Learn more on the PortaPottyBossPro porta potty billing software page.
