Missed Porta Potty Service Complaints: Why They Happen and How to Stop Them

The Call Nobody Wants

Photos, covered in Service Photos as Proof: Showing the Porta Potty Was Pumped and Clean, settle disputes after a complaint. The better goal is to avoid the complaint. A missed service call is more than one unhappy customer. It is a crew that had a bad week, a superintendent who now doubts you, and a general contractor who may not call next time.

Most missed visits are not random. They have causes, and each cause has a fix.

Cause One: The Schedule Drifted

On a paper or spreadsheet schedule, a site that gets moved once can quietly drop off. A stop gets pushed from Tuesday to Wednesday, nobody moves it back, and two weeks later someone notices it has not been serviced in twelve days.

The fix is a schedule that tracks real visits. In PortaPottyBossPro, each site comes due based on its minimum days between visits since the last completed visit. A site that was never completed stays due and turns overdue past a seven-day grace. It cannot drift silently. Minimum Days Between Visits: The Number That Drives Your Service Schedule explains how the setting works.

Cause Two: A Skipped Stop Was Never Rescheduled

Drivers skip stops for good reasons: locked gates, blocked access, unsafe weather. The problem is what happens next. If the skip lives only in the driver's memory, the site waits a week.

When a driver taps Skip in the driver app, the office sees it. The site was not completed, so it stays due on the Waiting List. The next morning, the office reassigns it. The skip turns into a one-day delay instead of a missed week.

Cause Three: The Driver Could Not Get In

A missing gate code, a changed lock or units moved to a new spot all lead to skips. These are notes problems. Keep access and placement notes current on every job, and add a site contact the office can call. Service Notes and Site Access: Gate Codes, Lock Boxes and Where the Units Sit covers what belongs in the notes.

Cause Four: The Truck Was Overloaded

A truck that cannot finish its route leaves the last stops for tomorrow. If that happens every day, the end of the route is always late. Check the dispatch board's totals of stops and dollars per truck and day before the week starts. If a truck consistently runs long, move stops to another truck or day.

Cause Five: The Site Needs More Service

Sometimes the visit happened, but the site needed more. The crew grew, the weather got hot, and weekly service is not enough. From the customer's side, it looks the same as a missed visit. Watch for extra pump-out requests and drivers reporting full tanks. Offer more units or twice-weekly service before the complaints start.

Cause Six: The Customer Did Not Know

Sometimes a site was serviced, but the site contact did not know and assumed it was missed. Arrival texts go out automatically when the driver arrives, and customers can set alerts for the night before and when they are next on the route. A customer who got an arrival text on Tuesday at 9am does not call on Wednesday asking whether you came.

Cause Seven: A New Driver Did Not Know the Site

When the regular driver is out, the fill-in driver may not know that the third unit is behind the building or that the east gate is the only one open. They service two units, miss the third, and the customer calls. The fix is the same as cause three: put placement and unit numbers on the job so the driver's phone shows every unit and where it sits. A driver who sees three unit numbers on the card knows to find three units.

A Daily Check That Catches It Early

The single best habit for preventing complaints is checking the Waiting List for overdue pins every morning. An overdue pin is a missed visit before it becomes a complaint. Assign it first, find out why it slipped, and fix the cause. If it was a gate code, update the notes. If it was an overloaded truck, rebalance.

When a Complaint Comes Anyway

Respond fast. Look up the job, check the photos and the visit history, and tell the customer exactly what happened. If you missed it, say so, get a truck there today, and consider not charging for the visit. If the visit happened, show the photos and talk about whether the site needs more service.
