The Daily Workflow in Porta Potty Rental Software: Call, Waiting List, Dispatch, Driver, Invoice

Every portable toilet company has a rhythm: calls in the morning, trucks out early, problems at midday, invoices at the end. Software should fit that rhythm, not fight it. In Spreadsheets vs. Porta Potty Rental Software: Where the Spreadsheet Breaks we looked at what a spreadsheet can't do. Here's what a normal day looks like once the software is running it.

Before the Trucks Roll

Most of the day's plan was built the afternoon before. First thing in the morning, the office checks the Scheduled List, the dispatch board, for today. The week strip at the top shows the day, and the truck filter lets you check each truck's list. The board totals stops and dollars per service, so a lopsided day jumps out.

Drivers sign into the driver app with the company login and their personal PIN and see their jobs in route order. Everything they need is on each card: address, Map button, units with type, quantity and unit numbers, placement notes and job notes.

Calls Coming In

Calls start early. A homeowner needs a unit for a backyard wedding next Saturday. A builder needs two more units on a site. A property manager wants an extra pump-out before a holiday weekend. Each one goes in as a job: a delivery with units, an added unit on an existing site, or an extra service. If it comes from a website request or sign-up form, it's already waiting in Form Responses, and a sign-up converts to a client in one click.

New jobs go to the Waiting List, the live map and list of every delivery, weekly service, extra pump-out and pickup that still needs to go out.

Take the details while the customer is on the phone, because that's when you have them. Which unit types and how many. Where on the property they should sit, on a level spot the truck can reach. Whether there's a gate code or a site contact. How long the rental runs and what happens after the included days. Every one of those answers saves a phone call later, either from the driver standing in a driveway or from the customer reading an invoice.

Mid-Morning: Fitting In Same-Day Work

Some calls can't wait for tomorrow. The office looks at the Waiting List map, sees which truck is working that part of town, and adds the job to that truck for today. Drag it into the route where it fits. The driver's list updates on the phone.

Crew GPS on the office map shows where every truck is, so you don't have to guess which driver is closest. For more on the board itself, see The Dispatch Board: Turning the Waiting List Into Each Truck's Day.

On the Route

Drivers work down their list. Tap Start, and the customer gets an "on the way" text if they've chosen that alert. Arrive, and they get "arrived". Service the units, drop the new ones or load the ones going back, add a note or a photo, tap Complete. If a site is locked or blocked, tap Skip and note why, and the office sees it and can put it back on the board.

Customers who want to know when the truck will show can watch the customer app, where the route appears on a live map: "You're stop 12 of 20 — the crew is 5 stops away."

As Jobs Complete

Each completed job does its own paperwork. A delivery records the delivered date, which starts the rental clock. A pickup records the picked-up date. Weekly services drop off the Waiting List and come back when their minimum days between visits have passed. If a card is on file, it can be charged on completion and the invoice created. Accounts set to Monthly collect the work for their month-end statement instead.

End of Day

By the time trucks are back, most of the invoicing is already done. The office checks for skipped jobs and puts them back on the board, answers any texts customers sent during the day through two-way texting, and looks at the Waiting List for tomorrow. Overdue pins get priority. Then the office builds tomorrow's board: assign to trucks, auto-route Closest First or Furthest First from the yard, adjust by hand where you know better.

Why the Rhythm Matters

The point of the daily workflow is that each step hands off to the next without retyping. A call becomes a job, the job becomes a stop, the stop becomes an invoice. For the full overview, see the porta potty rental software overview.
