Holiday Weeks and Porta Potty Service: Moving Visits Without Missing Any
The Week Everything Shifts
Restroom trailers, covered in Restroom Trailer Service: Scheduling the Units That Take the Longest, take careful timing on a normal week. Holiday weeks take careful timing for everything. When one weekday disappears, every site that would have been serviced that day has to go somewhere else. Get it wrong and a whole day's route quietly slides a week. Get it right and customers barely notice.
Decide Your Policy Early
Before the holiday, decide what your company does:
- Run the holiday as a normal workday at holiday pay.
- Service the holiday's sites the day before.
- Service them the day after.
- Split them across the rest of the week.
There is no single right answer. Construction sites are usually closed on major holidays, so servicing the day before leaves them clean when crews return. Parks and public sites may be busiest on the holiday itself, so servicing before and after may both be needed. Decide once and tell your customers early.
Use the Due Colors to Plan
In PortaPottyBossPro, weekly service sites come due on the Waiting List based on the minimum days between visits since the last completed visit. That gives holiday planning a big advantage. A site that comes due on the holiday stays in the due color the day after. It does not disappear and it does not reset. It only turns overdue once it slips past the grace period.
At the start of holiday week, look at the Waiting List for sites that will come due on the holiday. Assign them to trucks on the days you chose. If you service early, the site goes quiet on completion and comes due again a week later, shifting its regular day by one. If you want it back on its usual day, you can pull it back the next week since it will already be in its due window.
Spread the Extra Load
Moving one day's sites into four other days adds work to each. Check the dispatch board's totals of stops and dollars per day for each truck. If Wednesday now has the holiday's sites plus its own, spread them across trucks or days. Auto-routing Closest First or Furthest First from the yard can help rebuild the route order once the extra stops are added.
Busy Holiday Sites
Some sites get busier on holidays: parks, beaches, campgrounds, fairgrounds and event venues. These may need extra service before the holiday and an extra pump-out right after. Schedule the extra pump-outs as their own jobs on the Waiting List so they do not disturb the regular weekly rhythm. Extra Pump-Outs on Request: Fitting Unscheduled Service Into the Week covers extra pump-outs.
Tell Customers Ahead of Time
Customers do not mind a schedule change. They mind surprises. Send a text to affected customers the week before saying when their service will happen. Two-way texting from the office handles the replies. Service reminder texts the night before also go out based on the actual scheduled day, so a customer moved to Wednesday gets a Tuesday night reminder.
Holiday Weekend Gates
Many construction sites lock up for long weekends. If you service on a day the site is normally open but the crew has left early for the holiday, the gate may be locked. Call or text the site contact before the holiday to confirm access. Update the access notes on the job if the gate code or hours change.
Drivers and Days Off
Holiday weeks are also when drivers take time off. If one driver is out for the week and another has a short day, the plan has to cover their routes. Because every site carries its units, unit numbers, placement notes and access notes on the job, a fill-in driver can run an unfamiliar route from the phone. The stops arrive in route order, the Map button opens navigation, and the notes tell them which unit sits where. That is the difference between a holiday week that runs and one that falls apart when the regular driver is on vacation.
Check the Week After
After the holiday week, look at the Waiting List for overdue pins. Any site that got missed in the shuffle shows up in the overdue color, so you can catch it before the customer does. That one check after each holiday prevents most holiday-related complaints. Missed Porta Potty Service Complaints: Why They Happen and How to Stop Them covers missed-service complaints more broadly.
Plan Next Year Now
Keep notes on what worked: which policy you used, which sites were busy, and which gates were locked. Next year's holiday will go smoother with this year's notes.
